The following policies are intended to help ensure clear communication, protect confidentiality, and support a positive therapeutic experience for all clients of Dragonfly Counseling & Wellness, LLC (“Dragonfly Counseling & Wellness,” “we,” “our,” or “us”).

Communication Policy

Client Portal Communications

Dragonfly Counseling & Wellness uses a secure client portal for scheduling, intake forms, billing, secure messaging, and telehealth-related communications.

Clients are encouraged to use the secure portal whenever possible for confidential or therapy-related communications.

Email Communications

Email communications may be used for general administrative purposes, scheduling matters, or non-clinical questions.

Standard email is not always fully secure. Clients should avoid sending sensitive or confidential mental health information through standard email unless they understand and accept the associated risks.

Response Times

We strive to respond to messages, voicemails, and emails within a reasonable timeframe, generally within 1–2 business days during normal office hours.

Response times may vary depending on weekends, holidays, therapist schedules, vacations, emergencies, or other circumstances.

No Emergency Communications

Electronic communications, voicemail systems, email, website forms, and client portal messaging are not monitored continuously and must not be used for emergencies or urgent mental health situations.

If you are experiencing a medical or mental health emergency, call 911 or go to the nearest emergency room immediately.

Phone and Voicemail

Voicemail may be used for general communication or scheduling purposes. Please do not leave highly sensitive or urgent clinical information on voicemail.

If you need to communicate confidential clinical information, please use the secure client portal whenever possible.


Cancellation & No-Show Policy

Appointment Cancellations

We understand that unexpected situations arise and that clients may occasionally need to cancel or reschedule appointments.

To avoid cancellation fees, clients are requested to provide at least 24 hours’ notice before the scheduled appointment time.

Late Cancellations

Appointments cancelled with less than 24 hours’ notice may be subject to a late cancellation fee.

No-Show Appointments

Failure to attend a scheduled appointment without notice may result in a no-show fee.

Late Arrivals

If a client arrives late, the session may need to end at the originally scheduled time to avoid impacting other appointments.

Full session fees may still apply for significantly shortened sessions caused by late arrival.

Repeated Missed Appointments

Repeated missed appointments, excessive cancellations, or scheduling inconsistencies may affect future scheduling availability or continuation of services.


Social Media Policy

Confidentiality and Privacy

To protect client confidentiality and maintain appropriate professional boundaries, Dragonfly Counseling & Wellness therapists generally do not accept friend requests, follow requests, or social networking connections from current or former clients on personal social media accounts.

Direct Messaging

Clients should not use social media messaging systems to communicate clinical information, request therapy services, or contact therapists regarding emergencies.

Social media platforms are not secure or confidential methods of communication.

Online Reviews and Testimonials

Clients are never expected to leave online reviews or public testimonials.

Because confidentiality is extremely important, Dragonfly Counseling & Wellness therapists typically do not respond publicly to online reviews, comments, or social media interactions involving clients.

Educational Content

Social media posts, blog entries, educational materials, and online content shared by Dragonfly Counseling & Wellness are intended for informational and educational purposes only and are not a substitute for therapy, diagnosis, or individualized mental health care.

Therapeutic Relationship

Following, liking, commenting on, or interacting with Dragonfly Counseling & Wellness social media accounts does not establish a therapist-client relationship.


Telehealth Communications

Technology and Privacy

Clients participating in telehealth services are responsible for using a private environment and protecting the confidentiality of their devices, internet connections, and surroundings during sessions.

Technical Interruptions

If technological problems interrupt a telehealth session, reasonable efforts will be made to reconnect or continue the session using an alternative communication method when appropriate.


Professional Boundaries

Maintaining clear professional boundaries is important to preserving the integrity and effectiveness of the therapeutic relationship.

Therapists may limit or decline certain forms of contact, communication, or interactions outside the therapeutic setting in accordance with ethical guidelines and professional standards.


Changes to These Policies

Dragonfly Counseling & Wellness reserves the right to modify or update these policies at any time. Updated versions will be posted on this page with a revised effective date.
